SafePass - PrequalificationContractor pre-qualification has long been one of the most tedious bottlenecks in getting workers on site. The process is highly manual, requiring teams to collect, review, and verify documents across dozens of compliance categories. A cycle that traditionally stretched multiple weeks. Making matters more complex, pre-qualification isn't one-size-fits-all. Every client organization has unique requirements, risks, hazards and questions that need answers. This our solution had to support deep customization without creating an operational burden on our side. The challenge was clear: design a product that could handle the complexity of enterprise pre-qualification, eliminate the manual grind, and do it all without sacrificing the quality and experience users already expected from the platform.
The Approach
We started by mapping out every data source available to us — government records, our existing platform data, and direct user input — then designed an AI-powered document scanning engine that could extract and pre-answer qualification questions automatically. From there, we built a flexible configuration layer that allowed each client's unique prequalification criteria to work out of the box, with zero manual setup required from our team. Throughout the process, we held the product to three non-negotiable benchmarks: AI usage had to be fully transparent to end users, it had to handle at least 85% of the qualification workload, and the total cost of using the platform at full capacity — including AI token costs — had to come in at 70% below the traditional process.
The Outcome
The product hit all three targets. A process that once took weeks now resolves in days. AI handles over 85% of the heavy lifting, and total platform cost is reduced by more than 70%. The experience is seamless — matching the tone, quality, and trust of the existing SafePass platform so users move through prequalification without friction. Scheduled for its initial client release at the end of August, the product already has a waitlist of nearly 3,500 contractors ready to onboard.
